Party FAQ's:
Q: Do I need to be a member of the Lochearn Pool to host a party at the pool?
A: Yes! Hosting parties at the pool is one of the many benefits of membership. In order to host a party at the pool, you must first become a member.

Q: "What kind of party can I have at the pool?"
A: You can hold all sorts of parties! We welcome birthdays parties, graduations, retirement, sports teams, family reunions and so much more!
Q: "If I am not a member can I host a party at the pool?"
A: No. We only allow club members to hold parties at the pool. Lochearn is a privately owned club and in keeping with tradition we only allow members to host parties and events.
Q: "Can I provide a D.J. at my party?"
A: We do NOT allow D.J.'s to set up at the pool. Parties are held during regular business hours, so we ask that you keep music to a reasonable volume and play music that is not offensive to other members or our neighbors. You may have portable CD players, iPhone docks, etc.
Q: "Do I have to buy food from the snack bar or can I bring in my own food?"
A: You may absolutely bring in your own food either prepared by you, catered, or you can use one of our grills to throw on some burgers and hot dogs. If you don't want to bother, given advanced notice we can prepare snacks, drinks, and food options for your guests in the Snack Bar.
Q: "How do I book a party if I am a member?"
A: It's simple. Just fill out the Party Request Form on the website. If you are holding a party of 15 or more people you MUST GET BOARD APPROVAL. We will notify you via e-mail as soon as the board approves your event.
Q: "If my party is approved, when is payment due?"
A: We require a 50% deposit as soon as your party is approved. This will hold your space. Payment for the remainder of your balance is due you leave the property after the party.
PLEASE NOTE that the office/lifeguard staff will not collect fees from party guests.
It is the party host's responsibility to pay for the party, and if needed, collect funds from your guests.
Party Policies and Procedures

Any gathering of 10 or more people is considered a party.
In order to hold a party at the pool, you MUST be a member in good standing without outstanding balances, and you MUST complete the party request form on the website. A board member will reply to let you know if your party is approved within 2 weeks. All party requests must be sent at least 2 weeks before the party; Board approval is needed for parties more than 15 people- this may take up to a month.
Once a party is approved:
A deposit of 50% is due- please bring cash to the pool or submit your deposit via Cash app ($LochearnPool please include your name and “party deposit”).
The remainder of the party fees are due before you leave the pool on the day of your party. The remainder will account for the additional 50% you owed on the total cost of your party and an additional $10 for any guests over the number of guests indicated on your party form.
A $25 late fee will be added to any balances not paid on the day of your party.
All guests must sign in on the party sign-in form at the front office.
Party fees include up to 3 hours of party time plus 30 minutes of setup, and 30 minutes of clean-up (4 total hours). For each additional hour, the fee is:
● $30 for parties of up to 20 people
● $50 for parties of 21-50 people
● $75 for parties of 51 or more people.
ALL parties must be set up in the party area behind the bathhouse. Parties are not allowed to be under the pavilion by the snack bar.
In the case that two parties are scheduled on one day, the larger party will be located in the party area and the smaller party will be located at the picnic table near the grill; please check in with a lifeguard about the location of your party if you are unsure.
The party areas are OUTDOOR and may have dirt or dust on the tables. Please allow for 30 minutes to prepare the area before the party and bring the necessary supplies to wipe down tables.
If you require a canopy for your party, request it from the lifeguards- canopies require a minimum of two people to set them up and lifeguards should not be expected to set them up.
Party hosts are responsible for setup and cleanup of their designated party area. Any messes that require staff cleanup will be assessed a clean-up fee.
The sponsoring member must be present with the group for the entire duration of the event.
Adequate adult supervision is required for children and teenage groups.
All participants, whether members or guests, MUST have passed the deep water test prior to using the deep end of the pool or the diving area.
Alcohol is not permitted on pool grounds.
No glass containers are permitted on pool grounds.
No smoking is allowed inside the fenced area. Smokers are allowed to smoke in the designated smoking area only.
Once a party is approved, payment for guests will be expected, rain or shine. No rain dates are allowed. Members must re-submit a request for a new date if The Club needs to close the pool for catastrophic weather-related reasons.
All groups must comply with the Club’s current rules and regulations. It is the responsibility of the party host to make sure guests follow rules. Copies of the rules are available at the office. I have read the Party Policy of the Lochearn Community Club and hereby agree to abide by them. I also agree that the declared information on the Party Request Form is accurate.
